An opportunity exists for an experienced Facilities Manager to join the Isanti team and contribute to the achievement of the company’s strategic goals. The role exists in order to oversee the facility (buildings, equipment, grounds), ensuring that it is kept safe, in good condition and functional
Key Activities:
Facilities Management
- Maintain day to day operations of facilities, including security, maintenance and cleaning services
- Oversee the performance of routine facilities maintenance and required repairs
- Schedule routine inspections and emergency repairs with approved vendors
- Manage all aspects of maintenance of the physical buildings, including painting, ground works, roofing, electrical, plumbing and other repairs
- Plan and direct the inspections, maintenance and repair of buildings and related equipment, including the development of preventative maintenance schedules
- Assist with planning, development and coordination of remodelling and renovation projects throughout the facility; inspecting and coordinating the work of outside contractors, as well as coordinating the activities of internal stakeholders involved in the projects
- Address deficiencies identified by building inspectors
- Improve the general safety of the facility, identification of non-safe areas within the facility, improving the facility to world class safety environment
- Establish business emergency response plans
- Support and coordinate emergency response plans, including coordinating access to site for emergency response vehicles if/when required, emergency evacuation plans and site security
- Something around monitoring site compliance to relevant laws and regulations, resolve non-compliance issues if required, implement best practices beyond compliance where possible
- Respond appropriately to problems and issues that may arise with the facility
- Oversee the security contractor to ensure optimum security for the site
- Attend to security incidences on site, ensuring that investigations are completed, providing comprehensive reports to management and ensuring that agreed actions are implemented, as well as progress monitored
- Oversee the cleaning contractor to ensure that cleaning services are delivered in line with Isanti standards and requirements
- Establish and implement policies, procedures and SOPs for the effective management of the facility
- Gather data on the usage of the facilities, analysing findings and creating comprehensive reports
- Analyse existing building systems and collect data on building operation, HVAC, electrical, lighting and controls to determine energy usage and efficiency
- Develop management systems and technologies to improve building energy efficiency
Vendor Performance and Relationship Management
- Monitor and evaluate the performance of on-site contractors to ensure that they deliver agreed services
- Provide input as a subject matter expert to the Procurement department during the vendor sourcing process where required i.e. providing specifications for tender, engaging in the presentation of vendors to the business, drawing up of SLA’s and evaluating supplier performance
- Collaborate with procurement in the identification and evaluation of new suppliers
- Recommend to the Tender Board which supplier to use, based on the suppliers’ ability to meet organisational requirements
- Conduct supplier reviews to actively manage the relationship between the organisation and its various Logistics suppliers and actively resolve issues should they be identified
Financial Management
- Manage overall financial budget for the department to ensure financial budget and controls contribute to the efficiency and effectiveness of the department and supports the accomplishment of service delivery objectives
- Provide input into the development of departmental annual financial plans
- Manage and control short-term CAPEX and operational budget of the department to ensure effective and efficient functioning within budgetary constraints
- Support and coordination to large capital expenditure projects with regards to the work executed on site
- Analyse and report on operating requirements to determine funding requirements for the financial year.
- Monitor departmental expenditure against budget allocations and request reallocation as required
- Propose and implement corrective measures to rectify deviations to budgetary provisions, financial regulations, audit requirements and departmental procedures
- Approve and sign off invoice and approve, requisitions, etc. for expenditure, within levels of authority
- Comply with all financial, Procurement and other iSanti Glass regulations and policies
Stakeholder Relations
- Build and maintain relationships with internal and external stakeholders to ensure information, advice or opinions on relevant matters is made available and/or communicated appropriately and timeously
- Utilise opportunities presented to enhance the relationship between management, unions and employees, and implement processes to maximise a collaborative working relationship
- Manage relations with relevant government departments
SHERQ and Risk Management
- Ensure compliance with all applicable policies, procedures, guidelines and Management of Change (MOC)
- Ensure Adherence to Health and Safety measures and manage compliance to all ISO standards, HACCP etc.
- Ensure departmental compliance with all appropriate by-laws, governance and risk management policies and procedures to reduce and remediate process, operational, regulatory and compliance risks for the department
Qualifications & Experience:
- A relevant Bachelor’s degree or equivalent
- At least 5 years facilities management experience at appropriate level
- Experience managing similar facilities
